Quickbase MCP
Ask your Quickbase apps questions in plain language from Claude, ChatGPT or Gemini. Each person sees only what their own Quickbase permissions allow. Read-only by default; any change needs a human approval.
What you need
- A Quickbase account and a user token (Quickbase: My preferences → Manage user tokens), assigned to the apps you want to use.
- A work email that signs in with Google (Microsoft 365 coming soon). Personal addresses (Gmail, Outlook.com, Hotmail…) are not accepted.
- Claude (Pro, Max, Team or Enterprise), ChatGPT with connectors, or another assistant that supports remote MCP servers.
Connect it
- Claude: Settings → Connectors → Add custom connector. Name: Quickbase MCP. URL:
https://mcpqb.smartstrategyapps.com/mcp. Then click Connect. - ChatGPT: add a custom connector with the same URL and OAuth authentication.
- Sign in with your work account. The first person from a company starts a 30-day trial for up to 5 users; colleagues with the same domain ask to join and the company admin approves them.
- In the dashboard that opens, connect your Quickbase realm and paste your user token. It is stored encrypted and is used only to query Quickbase on your behalf.
- Go back to the assistant and ask, for example: “What Quickbase apps can I see?”
Gemini Enterprise
A Google Cloud administrator adds it once for the organization, as a Custom MCP server data store:
- Write to aarrea@smartstrategyapps.com for your company’s Client ID and Client Secret. We register Gemini Enterprise with the redirect URL
https://vertexaisearch.cloud.google.com/oauth-redirect. - Allow these domains in your egress policy:
mcpqb.smartstrategyapps.comandauth.smartstrategyapps.com. - In Gemini Enterprise, create the data store with: MCP Server URL
https://mcpqb.smartstrategyapps.com/mcp; Authorization URLhttps://auth.smartstrategyapps.com/authorize; Token URLhttps://auth.smartstrategyapps.com/token; your Client ID and Client Secret; Enable PKCE Support checked; Scopesmcp offline_access. Then Verify Auth and Create. - Each person signs in with their own work account the first time they use it, and connects their Quickbase token in the dashboard.
Perplexity
- Open Plugins in the sidebar (or Customize → Connectors) → Add custom → Connector → Add MCP connector, and choose Remote.
- Name: Quickbase MCP. MCP Server URL:
https://mcpqb.smartstrategyapps.com/mcp. Authentication: OAuth (no Client ID needed: Perplexity registers itself). Transport: Streamable HTTP. - Click the connector card to sign in with your work account.
In Perplexity Enterprise, every member should sign in with their own account: if one person authenticates for the whole organization, everyone would see Quickbase with that person’s permissions.
What you can ask
- “Which projects are active and how much have we spent on each against budget?”
- “Show last week’s purchases by supplier as a Pareto.”
- “Which budget accounts are over budget, and by how much?”
The assistant discovers your apps, tables and fields by name: you never need Quickbase IDs. Results show the date range, time zone and record counts used.
Tools
- Read:
qb_connections,qb_apps,qb_describe,qb_onboard_app,qb_form,qb_query,qb_get_record,qb_report,qb_run_report,qb_change_status,qb_capabilities. - Write (only if your admin enables it):
qb_prepare_create,qb_prepare_update,qb_prepare_upsert,qb_prepare_deletebuild a preview without writing;qb_execute_changeapplies it after approval in the dashboard. Deletions always need a person’s approval.
Security
- OAuth 2.1 with PKCE; access tokens last one hour and refresh tokens rotate.
- Quickbase tokens are encrypted with Google Cloud KMS. Quickbase enforces each person’s own role and permissions.
- The audit log records who used which tool and when, never the values of your records.
Limits
Up to 100 records per page and 100 records per change. No attachments, no changes to app structure (tables, fields, relationships) and no cross-app relationships.
