Copy for AI
If your company has AI access on, you can connect your own AI app to work with your records. It acts as you, with your permissions and no more; read AI data sharing first.
Before you start
No module permission is needed. In My profile, the Third-party AI tools page shows On, On — read only or Off next to Your company. The page appears in the side navigation only when easySales offers AI access. While it shows Off, you cannot connect anything; ask your administrator to switch it on under System settings → AI. See Company AI access.
Where your company offers two-step verification, connecting a new app needs it turned on for you; see Sign-in security. Only while your company has it set to Off do you confirm with your password instead.
Connect by signing in from the app. Use a personal token only for a tool that cannot sign in, or when the page shows no setup steps.
Steps
- On the Third-party AI tools page, select Copy beside the MCP server address. Your AI app asks for this address when you add easySales to it.
- Open How to connect an app and follow the steps for your app: Claude.ai, ChatGPT or Claude Code. For any other tool, see Other tools.
- When the app sends you to easySales, sign in if asked.
- Check Returns to, App from and Signed in as. Approve only an app you started connecting yourself.
- Under It asks to, keep Make changes as you ticked only if you want the app to create, edit and delete records and change their owner. Untick it if the app only needs to read.
- Confirm it’s you and select Allow. With two-step verification, enter a code from your app or email, or select Confirm with your passkey. Without these, select Use a recovery code instead and enter one; that code is then used up. If you signed in with a code or passkey in the last 15 minutes, nothing more is asked. Without it, the page says Turn on two-step verification to connect AI apps, unless your company has it Off — then enter Your password, to confirm.
Use a personal token
- On the Third-party AI tools page, select New token.
- Enter a Name for the tool and computer. A name that could pass for the built-in assistant, such as easy, easySales or AI assistant, is refused.
- Under Access, choose Full — same as you or Read only.
- Choose when it Expires: 30, 60 or 90 days.
- Select Create token, and confirm it’s you if asked.
- Copy the token, or the command under Connect Claude Code, into your tool. Then select Done.
What happens next
The app appears under Connected apps, and a token under Personal tokens, each with its Access: Read and write or Read only. A token is shown only once; if you lose it, create another.
Once connected, the app learns from easySales how to work with your records, and some apps also list ready-made starting prompts from easySales:
- Summarise an account — a short brief on one customer.
- Follow up overdue invoices — overdue invoices by customer, with a reminder drafted for you to send.
- Draft a quotation — a draft quotation, built with you step by step.
- My week — your to-dos, tasks and events for the next seven days.
- Review my pipeline — your open opportunities by stage, the forecast and deals with no next step.
- Review collections — what each customer owes and is overdue, with a suggested follow-up.
- Clean up duplicate accounts — likely duplicates of one account and what merging them would do.
Only the prompts your connection’s access allows appear, so a Read only connection shows no prompt that changes records. A prompt only starts the conversation: every change it leads to is still previewed for you to confirm.
To stop an app or a token, select Disconnect beside it and confirm. It stops working at once and cannot be restored.
Rules to know
- An app or token never does more than your role allows. While your company is On — read only, nothing you connect can change records.
- Every change is previewed for you to confirm first.
- You can connect up to 10 apps and hold 10 tokens.
- When your app asks you to connect again, repeat the steps.
- Changing or resetting your password disconnects all your apps and tokens. So does an administrator resetting your password or your two-step verification, and an administrator can also disconnect them.
- When your company starts requiring two-step verification, apps and tokens you already connected keep working. Turning your own two-step verification off does not disconnect them either.
- Keep a token secret, like a password.
Why it works this way
Signing in is safer than a token. When an app signs in, it never sees your password: easySales asks you to approve it on its own page, shows where the app returns to, and records the connection under your name. A personal token is a secret you copy by hand, so it is kept for tools that cannot sign in.
A second factor guards access that lasts for weeks. An AI app keeps its access long after you approve it. Where your company offers two-step verification, connecting asks for a code or your passkey, so a stolen password alone is not enough to link an app to your records.
Every change waits for your yes. An AI app can misread a request. It shows you a preview of each change, and easySales saves nothing until you confirm it, so a misunderstanding never becomes a change to a customer’s record.
Tokens expire. A personal token lasts at most 90 days. If one is ever copied somewhere it does not belong, it stops working on its expiry date at the latest, and Disconnect stops it at once.
Work faster
- Start from a ready-made prompt. Follow up overdue invoices, Review my pipeline and the other prompts set the app up for a common job in one step. See Get paid faster and the weekly sales routine.
- Untick changes for a helper that only reads. An app approved without Make changes as you cannot change anything, whatever you ask it, and prompts that need changes, such as Draft a quotation, are not offered to it.
- Name each token after its tool and computer. A name such as “Claude Code on my laptop” tells you which one to disconnect when a laptop is replaced.
- Check Last used now and then. Connected apps and Personal tokens show when each was last used; disconnect anything you no longer recognise.
- Ask for a PDF link, then send it yourself. The app can give you a short-lived link to a document’s PDF to attach or forward. See AI data sharing.
Examples
Connecting Claude to read only. Mei Tan wants Claude to help her prepare for customer calls, but not to change records. On Third-party AI tools she copies the server address and follows the Claude.ai steps under How to connect an app. Claude sends her to easySales, where she checks Returns to and Signed in as, unticks Make changes as you, enters a code from her authenticator app and selects Allow. Claude appears under Connected apps with Read only access.
Chasing overdue invoices. Daniel Lim connects ChatGPT with changes allowed and starts Follow up overdue invoices. The app lists Harbour Café’s INV-10000319, SGD 2,180.00 (SGD 2,000.00 plus GST 9% of SGD 180.00), 12 days overdue, and drafts a reminder. Daniel edits the reminder and sends it from his own e-mail; the app sends nothing to the customer.
A token for a script. Daniel’s command-line tool cannot sign in. He selects New token, names it “Claude Code on office PC”, chooses Read only and 30 days, and selects Create token. He copies the command under Connect Claude Code into his terminal before selecting Done, because the token is not shown again.
Common questions
- How do I connect ChatGPT to easySales? Copy the server address from Third-party AI tools. In ChatGPT, open Settings → Apps & Connectors and create a connector (you may need to turn on developer mode under Advanced), paste the address and choose OAuth. Then approve it in easySales.
- How do I connect Claude to easySales? Copy the server address, then in Claude open Settings → Connectors, choose Add custom connector, paste the address and choose Add, then Connect. Approve the connection in easySales.
- Can the AI app change my records without asking me? No. Every change is shown to you as a preview first, and easySales saves it only after you confirm.
- Why do I need two-step verification to connect an AI app? An app keeps its access for weeks, so connecting one asks for a code or your passkey, not just your password. See Confirm it’s you.
- What if I lose my personal token? It is shown only once. Create a new token, and disconnect the old one if it might be used by someone else.
- How many AI apps can I connect? Up to 10 apps, and you can hold 10 personal tokens.
- How long does a personal token last? 30, 60 or 90 days, as you choose when you create it.
